This Privacy Policy explains how LeadOrbitHQ ("LeadOrbitHQ", "we", "us", or "our") collects, uses, shares, and protects information when you visit our website, request a demo, sign up for an account, or use our WhatsApp lead qualification and CRM automation platform (the "Service"). By using the website or the Service, you agree to the practices described in this policy.
1. Who we are

2. Information we collect
We collect only the information needed to operate the Service and respond to enquiries. This includes:
Information you provide directly. When you submit a demo request, sign up, or contact us, we may collect your name, business or agency name, email address, WhatsApp or phone number, city or market, industry, and a description of your lead-handling needs.
Account and workspace data. If you create an account, we store your login credentials (passwords are hashed), workspace settings, team members you invite, and configuration you choose for your automations.
Lead and customer data you upload. As part of operating the Service, you may upload or connect lead lists, property inventories, chat transcripts, and other business data. This data belongs to you; we process it only to provide the Service.
WhatsApp messages. When leads interact with your workspace over WhatsApp, we process the message content, phone number, timestamps, and delivery status necessary to qualify, route, and log the conversation.
Technical data. Our hosting and infrastructure providers automatically collect basic technical information such as IP address, browser type, device information, referring pages, and access logs. This is used for security, abuse prevention, and reliability.
Cookies and similar technologies. We use a minimal set of cookies and local storage entries required to keep you signed in and to remember your preferences (such as language). We do not use advertising or cross-site tracking cookies.
3. How we use information
We use the information above to: provide, operate, and improve the Service; respond to demo requests and support enquiries; qualify leads, automate follow-ups, schedule appointments, and generate reports on your behalf; secure the platform and prevent fraud or abuse; send transactional messages about your account (such as password resets or service notices); and comply with legal obligations. We do not sell your personal information, and we do not use lead data uploaded by clients to train third-party AI models.
4. Legal basis for processing
Where the GDPR or similar laws apply, we rely on the following legal bases: your consent (for example, when you submit a demo form); performance of a contract (to deliver the Service you signed up for); our legitimate interests (to keep the platform secure and improve it); and compliance with legal obligations.
5. WhatsApp and third-party services
The Service depends on third-party providers, including but not limited to WhatsApp Cloud API (Meta), Supabase (database and authentication), Netlify (hosting), OpenRouter and other AI model providers, and n8n (workflow automation). When information is shared with these providers, it is subject to their own privacy terms. We only share what is necessary to operate the Service.
6. How we share information
We share information only in these limited situations: with the infrastructure and third-party providers listed above, acting as processors on our behalf; with your team members inside your workspace; when required by law, court order, or valid legal request; and in connection with a business transfer, in which case we will notify you before your information becomes subject to a different privacy policy.
7. Data retention
Account information is retained for as long as your account is active. Lead and chat data is retained according to the retention period configured in your workspace, or as agreed in your pilot or client agreement. Website enquiry data is retained for up to 24 months unless you ask us to delete it sooner. Backups may persist for a limited period after deletion for disaster-recovery purposes.
8. Data security
We use industry-standard measures to protect your information, including encryption in transit (HTTPS/TLS), encryption of passwords at rest, role-based access controls, row-level security on our database, restricted administrative access, and regular security reviews. No system is perfectly secure, but we work continuously to protect your data and to respond quickly to any incident.
9. International transfers
LeadOrbitHQ operates from Pakistan and uses global infrastructure providers. Your information may be processed in countries other than your own. Where required, we rely on appropriate safeguards (such as provider commitments and standard contractual clauses) for such transfers.
10. Your rights
Depending on where you live, you may have the right to access, correct, export, restrict, or delete your personal information, and to object to certain processing. 11. Children
The Service is intended for businesses and is not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us information, please contact us and we will delete it.
12. Changes to this policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last updated" date above and, where appropriate, notify you through the Service or by email. Continued use of the Service after changes take effect means you accept the updated policy.
